Ministry of Defence - Case Study

Ministry of DefenceABOUT

Project HQAG is a workflow based document creation and content management extranet which the MOD’s design studio administers to create and manage certain media publications. These include The Army & Defence Studies training manual and the Manual of Military Law. The system is a modular based work flow extranet and delivers print ready manuals in PDF format as well as content in HTML, for web deployment, and content PowerPoint as a training aid.

REQUIREMENTS

The purpose of the system was to manage the entire process of document production, document structure management, content production, non-geographic group based workflow and management for large scale complex manuals and documentation for four colour printing. A key requirement for the MOD was to simplify the current DTP processes to create, manage and deploy these complicated documents. Efficiency was also key and has been addressed by the provision of a systems environment that allows controlled group working within the document production stages.

SOLUTION

  • SQL server relation database management solution.
  • The creation of new documents and formats saved into the database as attributes.
  • Document hierarchy and structure managed through the system.
  • Well designed Graphical User Interface.
  • Web based CMS with full content control by the users and output for 4 colour high-res printing.
  • Audit trails and historical views to help back track and manage changes.
  • Output as PDF for print and HTML for the web.
  • Administrative user management and security protocols.
  • Intelligent search and retrieval routines.
  • Keyword tagging system.
  • Digital media asset management systems integration.
  • Print suppliers accessing the system to pick up completed media.
  • The system has resulted in large scale production cost savings, greater efficiencies, scalability and more opportunities to apply these new IT based business processes across the MOD.
